Enhancing Business Central with Custom Copilot Features

Microsoft Dynamics 365 Business Central offers extensive customization capabilities and leveraging AI-driven automation can significantly boost efficiency. We have developed three custom Copilot features in Business Central that automate key processes: creating a job, generating sales and purchase orders, and registering a new vendor. These enhancements streamline operations and improve user experience.

Integration of Azure OpenAI’s LLM Model with Business Central

Azure OpenAI’s LLM models, such as GPT-3.5 Turbo, integrate seamlessly with Business Central through secure API authentication using Azure Active Directory (Azure AD). Once authenticated, Business Central communicates with the Azure OpenAI endpoint to process user input efficiently. The interaction begins with a metaprompt, a predefined instruction set designed to provide context, constraints, and formatting requirements to the AI model. When a user submits a prompt—such as requesting the creation of a job, sales order, or vendor—the metaprompt helps structure the input into a precise query. The AI model then processes this query, referencing relevant data and applying predefined logic before generating structured responses. The response is parsed and mapped to Business Central’s data fields, ensuring that outputs align with business logic. This process not only enhances accuracy but also automates complex workflows, reducing manual effort while maintaining data integrity.

Pro’s & Con’s:

1. Create a Job in the Job List Page

The first custom Copilot feature simplifies project management by allowing users to create jobs effortlessly within the Job List page. Instead of manually entering job details, users can simply describe the project, and the AI generates a structured job with job lines automatically. This feature is powered by Azure OpenAI, utilizing the GPT-3.5 LLM model, which intelligently interprets user input and transforms it into a well-defined job structure, reducing manual effort and minimizing errors.

Benefits:

  • Ensures consistency and accuracy in job details
  • Enhances productivity by eliminating manual data entry

2. Create Sales and Purchase Orders

This Copilot feature enables seamless order generation directly from the Sales Order and Purchase Order pages. When a user initiates a new order, they can describe the requirements, and the AI-powered Copilot generates a complete sales or purchase order with relevant line items, pricing, and vendor/customer details. This feature leverages Azure OpenAI’s GPT-3.5 LLM model to process natural language input and convert it into structured order data.

Benefits:

  • Accelerates order processing
  • Reduces the risk of manual data entry errors

3. Create a Vendor from the Vendor List Page

Managing vendor information is crucial for procurement operations. This custom Copilot feature simplifies vendor registration by allowing users to generate a vendor profile with minimal input. By providing basic details or a business description, the AI automatically populates fields such as vendor name, contact information, payment terms, and other necessary attributes. This is powered by the GPT-3.5 LLM model deployed in Azure OpenAI, ensuring accurate and efficient data processing.

Benefits:

  • Speeds up vendor onboarding
  • Ensures data accuracy and completeness

Conclusion

These custom Copilot features in Business Central enhance productivity by automating repetitive tasks and reducing manual data entry. By integrating AI-driven automation with Azure OpenAI’s GPT-3.5 LLM model, businesses can optimize their workflows, improve data accuracy, and focus on strategic decision-making. As AI capabilities continue to evolve, leveraging such innovations will be crucial for driving efficiency and competitiveness in Business Central.
