Exporting Live Power Bi Report in PowerPoint

Hi there,

In this blog, I will show you how to export live Power BI reports in PowerPoint.

In order to export the live Power BI file from the Power BI service to PowerPoint, Follow the below steps:

  1. Open the Power Bi Report in the service.
  2. Go to export-> Power Point -> Embed live data.
  1. Copy the URL to paste into the PowerPoint, alternatively, you can click on open in SharePoint.
  2. Open PowerPoint, log in with the same Id used to login into the Power Bi service then Click the Insert ribbon, and choose the Power Bi button.
  3. Paste the URL and click insert. The report will be loaded into PowerPoint.
  4. To add multiple pages in the same file- Create a new slide in the same file and repeat the same process again.
  5. For sharing the same file with multiple users, those users must be added as a viewer role in the workspace where the Power Bi report exists.

Advantages:


      1. User can select values from the slicer.
      2. Visual interactivity is there.
      3. Scroll bar option is present for all visuals.
      4. Drill-up and Drill-down feature is supported.
      5. User can refresh data.
      6. RLS can be implemented (For these users must be added as a viewer in the workspace).

Limitations:

  1. You should have a Power Bi Pro license to create a workspace and add a user to the workspace.
  2. Users added to the workspace should also have a Power Bi Pro license to view the exported file. 
  3. Exported files are not in printable format.
  4. If you get this error in PowerPoint after clicking on Power Bi Button

Then you need to follow the below steps:

  1. Below visuals aren’t supported:
  • ESRI ArcGIS visuals.
  • R visuals.
  • Power Apps visuals.
  • Python visuals.
  • Power BI custom visuals. The exception is those Power BI custom visuals that have been certified.
  • Power Automate visuals.
  • The Paginated Report visual.
  • Visio visuals.
  • Visuals displayed as a Data point table or displayed with “Show data point as a table” don’t have the option to export to PowerPoint.
